When you contact us, we may collect your name, email address, telephone number, preferred clinic, the service you are interested in and the message you submit.

If you become a patient, additional identity, health, appointment, treatment and payment information may be collected through the appropriate clinical or administrative systems. Please do not include detailed or highly sensitive medical information in the general website enquiry form.

Why we use your information

We use website enquiry information to respond, identify the appropriate service, arrange appointments or quotations, maintain necessary administrative records and protect the website from misuse.

Where healthcare is provided, information may also be used to deliver safe care, maintain clinical records, meet professional and legal obligations, process payment and manage complaints or concerns.

Our lawful basis

Depending on the circumstances, processing may be necessary to take steps at your request before entering a contract, perform a contract, comply with a legal obligation, protect vital interests, provide health or social care, or pursue legitimate interests such as responding to enquiries and operating a secure service.

Where consent is the appropriate basis, you may withdraw it. Withdrawal does not affect processing that was lawful before consent was withdrawn.

Who information may be shared with

Information is only shared where necessary and appropriate. This may include Jace clinicians and authorised staff, laboratories, pharmacies, consultants, hospitals, insurers or employers where relevant to the service and lawful to do so.

We also use carefully selected service providers for website hosting, secure email delivery and business systems. The website enquiry form uses Resend to deliver your message to the Jace team. Providers are expected to protect information and act only on authorised instructions.

How long we keep information

Website enquiries are kept only for as long as necessary to respond, manage any resulting service and meet legal or administrative requirements.

Clinical records are retained for the periods required by applicable healthcare, professional and legal standards. Retention periods differ according to the record and service involved.

Your rights

Subject to applicable law, you may ask for access to your personal information, correction of inaccurate information, deletion or restriction in some circumstances, objection to certain processing, or transfer of information you provided in a portable format.

You can also raise a concern with the Information Commissioner’s Office. We encourage you to contact Jace first so we have an opportunity to address your concern.

Security and international processing

We use organisational and technical safeguards appropriate to the information and service. No internet transmission can be guaranteed completely secure, so sensitive clinical details should be shared through the channel advised by the care team.

Some technology providers may process information outside the UK or Ireland. Where this happens, appropriate contractual or legal safeguards are required.
